Are You Using QuickBooks for Bookkeeping?

We love earning your business, but firstly we love making our clients' lives easier.  When it comes to bookkeeping, we're here for you and both want to earn your business and provide tremendous value to your company.  When it comes to providing payroll services, there is little more to it than data entry and basic compliance.  As much as we would love to earn your business, we typically recommend to clients using QuickBooks Online or Desktop (if on their in-house computer) to utilize the fully automated payroll system in QuickBooks.  While setup can be difficult and may require our help, once it is setup it is very simple.

Is Bookkeeping Always Done in QuickBooks?

QuickBooks is definitely the software we recommend for most businesses, and what we use overwhelmingly for our clients.  But there are a few exceptions.

Many industries, like HVAC, electrical, plumbing, and other home services find software tailored to their industry is a better fit than QuickBooks.  A great few examples are Service Titan and SuccessWare21.  These both cater toward the HVAC industry and are great comparisons to QuickBooks' usage.

SuccessWare21, for example, handles everything itself except payroll.  It has a built-in accounting module, accounts receivable and accounts payable modules, the necessary dispatch module, etc.  It operates independently from QuickBooks.

ServiceTitan, alternatively, is working to become independent of Quickbooks but is not there yet.  This software prepares payable, receivable, and customer data for exporting to Quickbooks Online.

When we work with a client, looking at what software works best for them is important.  Sometimes this means finding software specific to their industry that can satisfy multiple needs, like maintaining a customer database as well as bookkeeping.  What we do is discuss your business' needs and then take the time to help you find what software works best for you and how we can help provide bookkeeping through it.

Is Outsourcing Bookkeeping Always Smart?

No.  Not every client benefits from outsourcing their bookkeeping, not even to us.  Some businesses need an in-house person rather than an outsourced local bookkeeper.  Maybe they have detailed billing that requires job costing alongside the bookkeeping, and it is simply not practical to outsource this; maybe the nature of the business require real-time bookkeeping, where even a day delay on inputting data would be detrimental; or maybe it's just the client's preference.  There are definitely valid reasons to not outsource to a local bookkeeper or accounting firm, and when you come to us we make sure to discuss your bookkeeping and payroll needs before simply recommending you use our services.

Sometimes Outsourcing is Your Only Option

Unfortunately, qualified, local bookkeepers are difficult to find.  This often leaves businesses in tough spots with jobs posted online but no one capable applying.  Even for accounting firms, sometimes we cannot grow as quickly as we would like because we cannot find qualified applicants.

When this happens, we can help fill the gap.  Business must go on, and we can help keep your books straight and IRS compliant until you fill the in-house position.  Then we can seamlessly transfer everything back over and be waiting to help come tax time.
